Six factors determine whether your emails reach the inbox. They work together, and weakness in any one area can undermine the others.
Authentication is the non-negotiable foundation of deliverability in 2026. Three protocols work together:
SPF (Sender Policy Framework) specifies which servers are authorized to send email on behalf of your domain. Think of it as a guest list for your sending infrastructure.
DKIM (DomainKeys Identified Mail) adds a cryptographic signature to each message, verifying that the content wasn’t tampered with in transit.
DMARC (Domain-based Message Authentication, Reporting & Conformance) ties SPF and DKIM together with a policy layer. It tells receiving servers what to do when authentication fails: nothing (p=none), quarantine the message, or reject it outright.
The data here is striking. Fully authenticated domains (all three protocols in place) are 2.7 times more likely to land in the inbox than unauthenticated ones, with a gap of roughly 38 percentage points in inbox placement. Yet a March 2026 snapshot of 990,000+ domains found that 70.9% have no effective DMARC protection, and only 10.7% run full enforcement.
Setting DMARC to p=none is monitoring, not protection. Mailbox providers see the difference.
Sender reputation is the behavioral profile mailbox providers build from your full sending history. It factors in complaint rates, bounce rates, engagement patterns, blocklist appearances, and authentication completeness. Strong reputation typically produces around 92% inbox placement. Below a Validity Sender Score of 70, placement often drops under 50%.
Reputation lives at both the domain level and the IP level. Switching ESPs doesn’t reset a damaged domain reputation.
Nearly 60% of all email senders now clean their lists regularly, according to Mailgun’s 2025 State of Deliverability report. The primary goals are removing invalid addresses, reducing duplication, and complying with privacy regulations.
The threshold for trouble is lower than most people expect. Once your bounce rate crosses 3%, most providers start throttling your sends. Modern spam filters care more about how subscribers interact with your messages than what keywords appear in the subject line. Gmail weights replies as one of the strongest signals that a message was wanted. Even a small percentage of replies measurably improves your Gmail reputation.
Practitioners on email deliverability forums report that mailbox providers now track signals most senders don’t think about: read time, scroll depth, deletion patterns, move-to-folder behavior, and whether recipients add you to contacts. This is why engagement-tiered segmentation matters so much. Sending fewer emails to unengaged subscribers isn’t just a list management tactic. It’s a deliverability strategy.
Here’s a surprising detail most guides miss. An Unspam.email 2025 report found that 74% of tested emails contained structural HTML issues, including invalid nesting, missing attributes, and accessibility violations. Malformed HTML triggers parsing-based spam filters independent of content or engagement. Your visually polished template may be getting flagged before anyone reads it.
When you switch to a new ESP, start sending for the first time, or go through a domain change, IP warming is essential. This means slowly increasing your sending volume over days or weeks, giving ISPs time to evaluate your authentication, content, and infrastructure. Benchmarks vary depending on who’s measuring and how, but here’s the picture for 2025 and 2026:
General benchmarks:
95–99%: Excellent. This is the target for well-run email programs, according to PowerDMARC and Mailgun data.
89%+: Good.
83–87%: Average. The global inbox placement rate reached 87.2% in 2025, a 3.7% uplift year over year. EmailToolTester’s 15-ESP benchmark puts the average at 83.1%.
Below 80%: Poor. Something is fundamentally broken.
By mailbox provider:
Gmail (42.9% global market share): 89.8% average inbox placement in 2025.
Microsoft (historically the toughest): 77.4% inbox placement rate. If your list skews heavily toward Outlook, Hotmail, or Live.com addresses, expect harder filtering.
European providers led globally with a 91.1% inbox placement rate.
Ecommerce-specific: Retail and ecommerce senders perform slightly above average at around 87.6% inbox placement.

This is the most consequential development in email deliverability in the past decade, and most glossary content barely mentions it.
February 2024: Gmail and Yahoo began enforcing new requirements for bulk senders (those sending 5,000+ emails per day). The mandates included SPF, DKIM, and DMARC authentication, one-click unsubscribe headers, and spam complaint rates below 0.3%.
May 2025: Microsoft announced its own restrictions on high-volume senders to Outlook.com domains (including Hotmail and Live.com), essentially mirroring Google and Yahoo’s rules.
November 2025: Gmail escalated enforcement. Non-compliant bulk mail now gets permanently rejected with hard 5xx SMTP errors. No more spam folder as a fallback. The message simply doesn’t get through.
Together, these three providers cover roughly 90% of consumer and business email users globally.
The results have been massive. Gmail reported 265 billion fewer unauthenticated emails reached inboxes in 2024 alone, a 65% reduction. In the first 60 days, 2.5 million domains implemented authentication for the first time.
But compliance is far from universal. Only 49% of senders actually made changes to meet the new requirements, per a Mailgun survey. The 30%+ partial non-compliance rate two years into enforcement means a large share of commercial senders are still leaking delivery to spam for entirely preventable reasons.
One deliverability practitioner on the Mailflow Authority blog put it bluntly: “The 2024-2025 enforcement wave wasn’t really new. These are standards M3AAWG has recommended for a decade. The change is enforcement. Senders who’d been getting away with sloppy authentication for years suddenly had it caught up to them. The technical fix is usually straightforward; the operational discipline to maintain it long-term is harder.”

Configure SPF, DKIM, and DMARC for your sending domain. Start DMARC at p=none to monitor, then advance to p=quarantine, and eventually p=reject. DMARC at p=none doesn’t protect you. It just watches. Mailbox providers treat enforcement-level DMARC as a much stronger trust signal.
If you use Klaviyo, set up a branded sending domain. Alignment between your root domain, sending domain, and friendly “from” address is critical for inbox placement. Klaviyo recommends this for all customers.
Remove hard bounces immediately. Suppress subscribers who haven’t engaged in 90 to 180 days. Run email verification on your list at least quarterly. The goal is to keep your bounce rate well below 3% and avoid hitting spam traps (recycled addresses that ISPs use to catch senders with poor list hygiene).
This is the deliverability tool nobody calls a deliverability tool. Send your most frequent campaigns to your most engaged subscribers. Reduce frequency for less engaged contacts. Suppress or re-engage dormant profiles.

Google Postmaster Tools is free and shows you your domain reputation, spam rate, authentication results, and delivery errors for Gmail specifically. If you send any significant volume to Gmail addresses (and you almost certainly do), this is essential monitoring.
When migrating ESPs or setting up a new sending infrastructure, start with low volume to your most engaged subscribers. Increase slowly over two to four weeks. Jumping from zero to 50,000 emails on a new IP is a fast path to the spam folder.
Microsoft’s 2025 requirements explicitly advised senders to ensure “From” or “Reply-To” addresses are valid and can receive replies. Reply rate is becoming a primary deliverability KPI. Using a no-reply@ address tells mailbox providers that you don’t want two-way communication, and they take note.
Once your DMARC is at p=reject, you can implement BIMI (Brand Indicators for Message Identification), which displays your brand logo next to the sender name in supporting inboxes. Two certificate types exist: VMC (requires a registered trademark, around $1,500/year, supported by Gmail, Yahoo, and Apple Mail) and CMC (no trademark required, Gmail only). Confusing delivery rate with deliverability. Your ESP showing 98% delivered doesn’t mean 98% of subscribers saw your email. The 88% confusion stat from Mailgun’s survey isn’t just trivia. It explains why so many stores don’t realize they have a deliverability problem.
Sending to purchased or scraped lists. These lists contain spam traps, invalid addresses, and people who never opted in. One campaign to a purchased list can damage your domain reputation for months.
Ignoring authentication during ESP migration. Switching from Mailchimp to Klaviyo (or any ESP change) requires reconfiguring SPF, DKIM, and DMARC records. Practitioners on Reddit consistently report that failing to update DNS records during migration is one of the most common causes of sudden deliverability drops.
Blasting the full list without segmentation. Sending every campaign to every subscriber tanks engagement metrics and increases spam complaints. This is why bulk emails kill your conversions, not just because of fatigue, but because low engagement actively harms your sender reputation.
Ignoring the Promotions tab. For ecommerce senders, the reality is sobering. TargetBay’s Q1 2025 data shows that 92.2% of ecommerce marketing emails land in Gmail’s Promotions tab, with only 4.4% reaching the primary inbox. Authentication gets you past spam, but engagement signals determine whether you escape Promotions.
Sending emails with broken HTML. When 74% of tested emails have structural HTML issues that trigger spam filters, this isn’t a minor concern. Test your templates with tools like Litmus or Email on Acid before sending.
Inbox placement rate: The percentage of sent emails that reach the inbox (not spam). This is the true measure of deliverability.
Sender score: A numerical reputation rating (typically 0–100) assigned to your sending IP or domain. Scores below 70 often correlate with significant spam folder placement.
Hard bounce: A permanent delivery failure, usually because the email address doesn’t exist. Remove these immediately.
Soft bounce: A temporary delivery failure (full inbox, server down). These usually resolve on their own, but repeated soft bounces to the same address should be treated as a list quality issue.
Blocklist: A real-time database of IPs or domains known to send spam. Getting listed can instantly tank your deliverability.
Spam trap: An email address used by ISPs or anti-spam organizations to catch senders with poor list practices. Hitting a spam trap signals that you’re not properly managing your list.
Apple Mail Privacy Protection (MPP): A feature that auto-loads tracking pixels for iOS and macOS Mail users. Roughly half of all reported opens may be inflated because of MPP. Programs relying on open rate as their primary metric are making decisions on unreliable data. Click rate, click-to-open rate, and reply-based engagement are more trustworthy signals.
An inbox placement rate of 95% or higher is considered excellent. Above 89% is good. The global average sits around 83–87% depending on the benchmark source. Anything below 80% signals serious problems with authentication, sender reputation, or list quality.
